NDIS Plan Manager vs Support Coordinator: What's the Difference?

Published by PlanDesk

If you're new to the NDIS space, or even if you've been in it for a while, it's easy to mix up a Plan Manager and a Support Coordinator. Both terms get used a lot, both roles work closely with participants, and both involve a fair amount of admin. But they do quite different jobs. Here's a straightforward breakdown of each.

What Does an NDIS Plan Manager Do?

A Plan Manager looks after the financial side of a participant's NDIS plan. When a participant chooses "plan-managed" funding, a Plan Manager is engaged to pay their providers, keep track of the budget across different support categories, and handle the financial reporting back to the participant. In practice, that means processing invoices, reconciling spending against the plan, and making sure funds are used correctly and don't run out before the plan period ends.

A Plan Manager isn't usually involved in deciding what supports a participant needs day to day. Their focus is on the money side, done accurately and on time.

What Does an NDIS Support Coordinator Do?

A Support Coordinator, on the other hand, helps a participant actually use their plan. That includes connecting them with the right providers, helping them understand their funded supports, building their capacity to manage their own supports over time, and stepping in when something isn't working (like a provider issue or a service gap). It's a more hands-on, coordination-heavy role, focused on outcomes rather than budgets.

Can One Provider Offer Both?

Yes. Some organizations specialize in just one of these services, while others offer both under the same roof. Either way, both roles come with a significant amount of repetitive admin work: data entry, documentation, scheduling, and communication with participants and providers.

How a Virtual Assistant Can Support Both Roles

Whether you run a Plan Management business or a Support Coordination service, the day-to-day admin tends to look similar: invoices to process, records to keep, calls and emails to manage, and reports to prepare. This is exactly where a Virtual Assistant can take work off your plate, without you needing to hire another local staff member.

At PlanDesk, our Virtual Assistants and admin staff support Australian NDIS providers with tasks like data entry and reporting, participant and provider communication, appointment coordination, and compliance documentation, whether you're a Plan Manager, a Support Coordinator, or both.
